Parties so to speak and party catered events are a big part of promotion and motivation programs in many firms even today with today’s economic climate and recession. If your staff are all in one place – rather than spread around the globe, virtual or work at home via telecommunications then it may not be the case. Yet if they are in one setting then it’s cost effective as travel and time charge costs are minimal – everyone is ready for the party and the event so to speak.
Firms use such hosted events to efficiently and as well effectively introduce new products and line extensions, to explain new marketing thrusts, campaigns and strategies or even to tout mergers, acquisitions, promotions and anniversaries.
Yet as with most events and event planning one should not plan by the “seat of their pants” at the last moment. Forward planning to the extreme is of the highest benefit.
Key to successful business planning includes:
1) Planning and follow-through – allow a minimum of six weeks planning ahead.
On top of that lists should be kept. Sure you can do this on a blackberry, or laptop computer now rather than a simple notebook or columnar pad with checklists. Its just more convenient technology and record keeping. If a number of people are involved in planning and integration online collaborative software services like spreadsheets on Google docs or even wikis can be used and utilized for good measure.
2) Liaison Person: experienced corporate entertainment and planning consultants advise that only one person should have top authority to coordinate all services need for the event or events. Too many cooks spoil the broth might be the motto.
3)Objectives : Spell out the intent or purpose of the party overall
4) Communication of Message: Make it a solid point to exploit all opportunities that come the way of the firm or organization. Indicate clearly in invitations what guests can expect. Display company products. Lastly offer giveaways bearing the company’s logo as well as sample products.
5) Lastly cost containment is always key. It’s always easy for costs to increase or even escalate. Alternative venues are in house in the company’s headquarters, boardroom or showroom. Use in – house graphics such as color laser and inkjets printers that are readily available on hand.
Lastly to keep costs in line you can even use company personnel as hosts and hostesses.
